This key position coordinates assigned activities of MCSC Women’s Business Center, a 501(c)3 non-profit organization. While a core area of responsibility is data management, other key areas include grants management, executive assistance, coordination of assigned programs and services, and backup position on marketing, graphics and outreach. This is a full-time position and requires continual prioritizing and working with the team, to ensure on time delivery of services, classes, data, reporting and compliance.


  • Responsible for accuracy and maintenance of all data company wide, including SLO and Bakersfield offices.

  • Trains consultants and staff on proper data capture and computer entry to ensure data and demographic accuracy.

  • Trains staff and contractors in-person and via Zoom/other web-based program

  • Prepares files, binders, reports for twice yearly SBA and other reviews

  • Codes and processes twice monthly invoices for submittal to outside accounting firm

  • Creates and maintains client activity files, databases and generates reports.

  • Receives and accounts for client payment of fees to MCSC. Prepares necessary forms to effectively track payments client receipts.

ADMINISTRATIVE - Executive Assistance

  • Provides administrative support to the Program Director.

  • Takes and prepares monthly board of director meeting minutes


  • Develops and runs reports to report data to SBA, and various grantors.

  • Learns MCSC’s relationship and reporting to grantors and sponsors. Supports, fosters, and helps grow these relationships.

  • Upon request, assists Program Director in researching, writing, submittal of grants.


Works with Internal and External team to ensure the following:

  • Ensures excellent client service, makes sure client needs are served and met with a high level of customer satisfaction. Assists with continuous improvement of the client management process.

  • Coordinates all Spanish classes, workshops, paperwork and reporting. Backup position in coordination and execution of English workshops, classes, ‘Brown Bags’ and classes.

  • Backup position to greets visitors, answers phones, responds to client inquires, and schedules client meetings.

  • Backup position to register clients and others for workshops, events, classes and Brown Bags.


Works with Internal and External team to ensure the following:

  • Assist Program Director to develop and implement center marketing strategy. Tracks and reports source of clients/students to guide marketing efforts.

  • Represents MCSC in selected outreach opportunities; explains and markets programs.

  • Depending on background, experience & MCSC need, may be involved in The Women's Business Center's marketing efforts including social media, flyers email campaigns, workshops, advertising.

  • Non-profit experience desirable

  • Basic accounting background helpful

  • Very comfortable with numbers, analyzing numbers, and data reporting

  • Bilingual Spanish, verbal and written desirable

  • Proficient with PC’s and Microsoft Word, Publisher, Excel, PowerPoint, Publisher

  • Typing skills of minimum 45+ wpm

  • Strong organization skills and attention to detail

  • Warm personality, and comfortable speaking to groups

  • Appreciation for the entrepreneurial spirit of our clients

  • Self-starter and able to initiate tasks

  • Effective communication and interpersonal skills, team player

  • Proper English usage, grammar, spelling and punctuation

  • Ability to write clearly, concisely and persuasively

  • Multi tasker, ability to manage multiple projects simultaneously

  • Experience in Social Media helpful, preferably social media for business


  • High school diploma or equivalent required.

  • A bachelor’s degree is helpful, and/or courses in business administration, such as business planning, bookkeeping, marketing and social media.

  • Minimum 8+ Years related business experience which may include non-profit, grants management, customer service, administration, marketing, light bookkeeping, social media.

SUPERVISION RECEIVED- Reports to the MCSC Women’s Business Center Program Director
